This page explains how you can request deletion of your ClearSociety account and the personal data associated with it.
1. How to Request Deletion
You can request account and data deletion through either of the following channels. We will acknowledge your request within 3 business days and complete it within 30 days.
Option A — Email
- Send an email to support@vishvex.com from the email address registered with your ClearSociety account.
- Use the subject line:
ClearSociety Account Deletion Request.
- In the body, include:
- Your full name as it appears on your account
- Your registered email address and phone number
- The name of your community / society
- Your apartment or unit number
- You will receive a confirmation email once the deletion is complete.
Option B — In-App
- Open the ClearSociety app and sign in.
- Go to Profile → Settings → Delete Account.
- Confirm the action. Your account will be queued for deletion and you will be signed out.
2. What Data Is Deleted
Upon a verified deletion request, we permanently delete the following data associated with your account:
- Profile information (name, email, phone number, profile photo, apartment/unit details)
- Authentication credentials (password hash, OTP history, session tokens, device push tokens)
- Vehicles, pets, family members, and house help entries registered under your account
- Gate pass requests, visitor logs, and QR code history tied to your account
- Amenity bookings (past and future), service tickets, and announcements you authored
- Community feed posts, comments, and reactions you authored
- Personal preference and notification settings
3. What Data Is Retained, and Why
Some records must be retained after account deletion to meet legal, financial, audit, and community-management obligations. These records are de-identified where feasible and access is restricted to authorised personnel.
- Financial transaction records (invoices, payments, expense entries, ledger entries) — retained for up to 8 years to comply with statutory accounting and tax requirements. These records are retained at the community/society level and your personal identifiers are replaced with a non-reversible reference where the law permits.
- Audit logs (security events, login attempts, administrative actions) — retained for up to 1 year to support fraud prevention and security investigations.
- Aggregated and anonymised analytics — retained indefinitely; this data cannot be linked back to you.
- Backups — encrypted backups containing your data are purged on the rolling backup-retention cycle within 35 days of deletion.
4. Special Cases
- Active committee members: If you currently hold a committee role (e.g. President, Treasurer, Secretary), you must transfer your role to another resident before your account can be deleted. Contact your community administrator to arrange the transfer.
- Outstanding dues: If you have unpaid maintenance dues or open service tickets, your community administrator will be notified so they can be settled or reassigned prior to deletion.
- Shared community content: Announcements, polls, or meeting minutes that were published to the community remain visible to the community, but your name is replaced with “Former resident”.
5. Confirmation
Once your deletion request has been processed, we will send a final confirmation email to the address that submitted the request. After this point, your account cannot be restored and you will need to re-register from scratch to use ClearSociety again.
